Build the data model
Which packaging details belong at SKU, unit, carton, order, and destination level?
Start by separating levels. The SKU level normally identifies the commercial product variation: style, color, size, and whether the unit is a single garment or an approved set. The unit level links that identity to the physical labels, hangtags, bag, stickers, and barcode. The carton level states which units are grouped together and how the carton is identified. The order level controls totals, purchase-order references, versions, and approval status. The destination level adds ship-to and receiving requirements.
Do not mix those levels into one overloaded text field. A note such as “black leggings, mixed sizes, barcode on bag, ship to Warehouse A” still leaves unanswered questions: which black, which legging revision, which sizes and quantities, which code belongs to each size, how the mix is allocated, what appears on the carton, and whether Warehouse A requires another order reference. Structured columns expose gaps before printing and packing make them expensive to correct.
Use stable names and identifiers. A marketing color name can coexist with a factory color reference, but their relationship should be explicit. A customer-facing size can coexist with an internal size code, but the bag label and carton mark should not switch between them without a defined mapping. When sets contain more than one garment, state whether the set has one sellable SKU, whether each piece has its own internal identity, and how mismatched components will be prevented.
Protect commercial identifiers
How should brands provide barcode data without asking the factory to invent it?
A barcode is not merely a graphic. The encoded value has a commercial meaning defined by the brand, retailer, marketplace, or another designated system owner. The buyer should provide an authoritative table that connects each value to the correct SKU and states what human-readable text must accompany it. The supplier can place, print, and check the label against that released table, but it should not infer missing values from color names or create a sequence because the spreadsheet looks incomplete.
Keep data and artwork connected but separable. The artwork defines the label dimensions, hierarchy, typography, and static text. The data table supplies the variable fields. Give every artwork and data release a revision or date. When values arrive in several email attachments, the factory can easily pair a new graphic with an old code table unless the current combination is named explicitly.
Define the verification method. That may include comparing printed labels with the source table, checking legibility, checking placement, and using an agreed scanning route. A scan result only proves what the chosen system read; it does not establish that the buyer assigned the value to the correct commercial product. The data owner must still validate the mapping and any retailer, marketplace, or destination rule.
Connect brand components

Packaging begins with the correct garment. Brand labels, size labels, care and composition labels, hangtags, and external identification should agree on the product and size. Place each component deliberately. A hangtag attachment should not damage the fabric or interfere with the product presentation. When several components repeat the same SKU or size, verify that they all draw from the same released mapping rather than retyping the information independently.
Treat placeholder copy as a stop condition. “Barcode here,” a sample brand name, an obsolete care file, or a draft hangtag should never become production content simply because the physical component was approved. The packaging release should distinguish approved artwork, approved variable data, and components that are still awaiting buyer confirmation.
Approve the packed unit

Begin with the garment in its approved condition. Define the front-facing orientation, fold sequence or finished presentation, how straps or sleeves are contained, and whether inserts or tissue are used. The fold should be repeatable and appropriate to the garment and trims. The factory can review physical feasibility and reproduce approved text, but it should not provide an unsupported universal compliance promise.
Finally define the external identification. State which sticker carries the size, color, SKU, barcode, or other receiving data, where it is placed, and which direction it faces when units are arranged in a carton. Allocate the order

The correct choice depends on the buyer's handling, warehouse, assortment, and delivery plan.
A ratio is useful for planning only when it resolves into actual unit counts. “One small, two medium, two large” is incomplete if the carton also mixes colors, if the last carton differs, or if the order is divided between destinations. Show each carton or repeatable carton type, the number of cartons using it, and the units inside. Then total the allocation back to the order by every relevant dimension.
Keep exceptions visible. A partial carton, sample carton, replacement unit, promotional set, or destination split should not be hidden inside a standard ratio. Receiving teams need to know what differs and why. When a carton is mixed, external marks and packing records should give the receiver enough information to handle it correctly without opening every box to discover the assortment.

What should carton marks and warehouse receiving instructions contain?
Carton marks translate the approved carton allocation into visible handling information. Buyer-specified fields may include the purchase order, destination, style or SKU, color, size, quantity, carton sequence, and warehouse reference. The exact layout depends on the buyer and route. Provide the field names, data, order, language, dimensions, and position rather than sending a screenshot that leaves the supplier to rebuild the design.
Separate fixed text from variable data, just as with unit labels. A proof can show the design while the carton-allocation table supplies the changing content. Approve both and state how they are joined. If physical carton dimensions and weights are displayed, confirm them from the actual packed order rather than copying assumptions from another style or earlier quotation.
Receiving instructions extend beyond the printed mark. State the ship-to party, warehouse or retailer reference, any required packing-list format, routing contact, and change-control owner. The buyer, forwarder, retailer, and qualified advisers should confirm destination-specific logistics or regulatory requirements. The supplier's role is to review the confirmed request, flag conflicts, and prepare packing and shipment records from the approved data.

Approve the method
When should a buyer request a packaging sample or packing proof?
Choose evidence according to risk. A new bag, unfamiliar fold, structured cup, large trim, multiple inserts, set arrangement, delicate surface, retailer-specific presentation, or complex sticker layout may justify a physical packed sample. It lets the buyer review scale, orientation, protection, legibility, and appearance together. The sample should use representative components and be identified by the product and packaging revision it represents.
A clear photo sequence and packing sheet may be appropriate when the materials and method are simple or already established. Keep the evidence with the order package and record any later change. A sample approved before barcode data or carton allocation is final does not approve those missing elements.
